Privacy Policy
What we collect when you contact us or engage us, why we collect it, and what we will never do with it.
Last updated: 13 October 2026
This policy explains how The Authors Portal, a DBA of Dispatch Globally LLC, collects, uses and protects information when you visit theauthorsportal.com or engage our services. It covers this website, the quote form on it, and the work we do for authors who go on to hire us.
Information we collect
We collect the following, and only when you give it to us or when your visit generates it:
- Contact information
- Your name, email address and phone number, as you give them to us on a form, on the phone or by email.
- Manuscript and project information
- The genre, length and stage of your book, what the book needs, and any sample material you send us.
- Payment information
- Handled by our payment provider. Card and bank details are not stored on this website.
- Usage data
- Pages visited, time on site and referring URLs.
- Communications
- The emails, messages and form submissions you send us, and our replies to them.
How we use your information
We use what you give us to:
- Reply to quote requests and enquiries.
- Deliver the editing, design, publishing, print and marketing services you engage us for.
- Send proposals, invoices and service-related messages.
- Improve this website and our services.
- Measure whether our advertising on Facebook and Instagram works, as described under "Advertising measurement" below.
- Meet our legal obligations.
We do not sell your personal information. We do not share your mobile information with third parties for marketing purposes.
Your manuscript
Unpublished work is treated as confidential. It is not shared outside the people working on your book, and no extract is published or used in our marketing without your written permission.
You keep the copyright in your manuscript and in the finished book.
SMS and text messages
- How you opt in
- By ticking the SMS consent box on the quote form on this site, or by agreeing to text updates when we speak.
- How often
- Frequency varies with the stage your project is at.
- What it costs
- Message and data rates may apply, depending on your carrier and plan.
- How to stop
- Reply STOP to any message and we will stop texting you.
- How to get help
- Reply HELP, or call (786) 735-2958.
We do not sell, rent or share your mobile number or your SMS consent with third parties for their marketing.
Legal basis for processing
We process your information on one of these bases:
- Your consent, which you may withdraw at any time.
- Performance of a contract, where we are delivering a service you engaged us for.
- Our legitimate business interests, such as replying to an enquiry and keeping proper records.
Data sharing
We share your information only where running this site or delivering your project requires it:
- Our payment provider, to take payment.
- The email and hosting providers that run this website and our mailbox.
- The print, retail and distribution platforms a book has to be listed with, where your project requires it.
- Trustpilot, the independent review platform, whose review widget loads in the footer of every page. The section on cookies and third-party content below sets out exactly what that shares.
- tawk.to, the live chat service on every page. If you start a chat, what you type and any details you give in it go to tawk.to so that we can read and answer them. The section on cookies and third-party content below sets out what loading the chat shares.
- Meta Platforms, for ad measurement only, unless you opt out. The section on advertising measurement below sets out exactly what is shared.
- Legal authorities, where the law requires it.
Each of them is required to handle your data in line with applicable privacy law.
Data retention
We keep your information only as long as it is necessary for the purposes set out above, or as long as the law requires. Project records are kept for a minimum of three years for business record keeping.
Cookies and third-party content
This site may use cookies and similar technologies to understand traffic and improve the experience, including the Meta cookies described under "Advertising measurement" below. You can disable them in your browser settings. Some features of the site may then not work as intended.
The footer of every page carries a Trustpilot review widget, which loads from Trustpilot’s own servers rather than ours. Loading it tells Trustpilot your IP address, your browser and which page of this site you were on, and records that the widget was shown to you. It does not set a cookie and it stores nothing on your device. Blocking widget.trustpilot.com in your browser or an extension stops it loading, and nothing else on this site depends on it.
Every page also carries a live chat window run by tawk.to, which loads from tawk.to’s own servers. Loading it tells tawk.to your IP address, your browser and which page of this site you are on, and tawk.to stores an identifier in cookies and in your browser’s storage so that a conversation carries on as you move between pages and when you come back. If you start a chat, your messages and anything you choose to give us in it, such as your name or email address, are held by tawk.to so that we can reply. Blocking tawk.to in your browser or an extension stops the chat loading; you can still call us or use the quote form.
Advertising measurement (Meta Pixel and Conversions API)
We advertise on Facebook and Instagram, which are run by Meta Platforms. To learn whether those ads work, and to show them to people more likely to find them useful, we use two Meta tools: the Meta Pixel, a script that runs in your browser on this site, and the Conversions API, which sends the same information from our server.
- What is shared
- Which pages of this site you view; that you sent the quote form or asked for our free guide; that you tapped our phone number; your IP address and browser details; Meta cookie identifiers (_fbp and _fbc) where present; and, when you send a form, your email address and first name in hashed form. Hashing turns them into a scrambled code before they leave our server; Meta uses it only to match the event to an account it already knows.
- What is never shared
- Your phone number (in any form), the message you write about your book, your manuscript, what services you selected, and your SMS consent.
- Why
- Ad measurement: counting how many enquiries our ads lead to, so we spend on what works and stop what does not. We do not sell your information.
- Cookies
- The Meta Pixel may set first-party cookies (_fbp, and _fbc when you arrive from an ad) on this site. Nothing Meta-related loads if you have opted out.
How to opt out, any of these:
- Use "Do not share my data for ads" at the bottom of any page on this site. The Meta Pixel then does not load in your browser, and our forms tell our server not to send anything to Meta. The choice is stored in your browser; clearing your browser data resets it.
- Turn on Global Privacy Control (GPC) in your browser or a privacy extension. We treat a GPC signal exactly like the opt-out above.
- Change your ad preferences with Meta directly, in the Accounts Center of your Facebook or Instagram account, under "Ad preferences".
Opting out changes nothing else: the site and the forms work exactly the same way.
Your rights
You may ask us to:
- Give you access to the personal information we hold about you.
- Correct anything that is wrong or out of date.
- Delete your personal information.
- Stop processing information you previously consented to, by withdrawing that consent.
To exercise any of these, call (786) 735-2958, Mon–Fri, 9am–6pm EST, or write to us at 7901 4th St N, #30060 St. Petersburg, FL 33702, USA.
Security
We use reasonable administrative, technical and physical safeguards to protect the information we hold. No transmission over the internet is completely secure, so we cannot guarantee absolute security.
Children’s privacy
Our services are not directed to anyone under 18, and we do not knowingly collect information from anyone under 18. If you believe a child has given us information, please contact us.
Changes to this policy
We may update this policy. When we do, we will change the date at the top of this page.
